What to put on a music invoice

A proper invoice gets you paid faster and keeps your records straight for tax. Whether you are billing for a gig, a session, a lesson or a commission, it should include your name and contact details, the client's details, a unique invoice number, the invoice date, a clear description of the work and the amount due.

Add the payment terms, such as pay within 14 or 30 days, and your bank details. If you are VAT registered, show your VAT number and the VAT charged. If you are not, you do not add VAT.

Tips to get paid on time

Send the invoice as soon as the work is done, not weeks later. Put the due date on it in plain words. Use a clear invoice number each time so nothing gets lost, and keep a copy of everything you send. If a client is slow, follow up politely and quickly.

Keep your invoices with your expenses so you can see what you actually earned. Our expense tracker is made for that.

Common invoicing mistakes

The usual problems are a missing invoice number, no due date, vague descriptions such as "music work", and bank details typed wrongly. Another is forgetting to say who the invoice is addressed to, as a company name and a person are not always the same. Take two minutes to check the invoice before you send it, as an error can hold up payment for weeks.

How to use this generator

Enter your details, the client's details and the line items, preview the invoice, and download it as a PDF to send. You can add your own logo. The generator is built for musicians, session players, teachers, producers and bands who work for themselves.

It helps you create a clear invoice. It is not tax or accounting advice, so check with an accountant if you are unsure about VAT or what you owe.
